Privacy Policy

As your accountants we hold the financial record of your business, and often of your household. We collect what the work requires, use it to do that work, and nothing else.
What we collect
The records you share or connect: bank and card activity, payroll data, invoices, receipts, prior returns, entity documents, and the identifying details needed to prepare and file returns for you and the people on them. We also keep ordinary account information such as your name, email, and phone number.
How we use it
To keep your books, prepare and file your returns, calculate what you owe, answer your questions, and meet the recordkeeping obligations that apply to a firm doing this work. We do not sell your information, and we do not share it for anyone else’s marketing.
Who sees it
The people at Theorem working on your account, and the service providers we rely on to operate, such as document storage, our software infrastructure, and e-filing. Those providers are bound to handle your information confidentially and only on our instruction. We disclose information to anyone else only with your consent or where the law requires it.
Tax return information
Information you give us to prepare a tax return receives additional protection under federal law. We do not use or disclose it for any purpose other than preparing your return unless you give us written consent first, or a specific legal exception applies.
How it is protected
Encrypted in transit and at rest. Access is limited to the people working on your account. Where a bank or payroll connection supports read-only access, we use it, so the connection cannot move money.
How long we keep it
We retain your records for as long as we work together, and afterward for the period that professional and tax recordkeeping rules require. You can ask for a copy of your records at any time, and they leave with you if you go.
Your choices
You can ask what we hold, request a copy, ask us to correct something, or ask us to delete what we are not required to keep. Write to us and we will handle it.
